SDKPA Group Leader Policy 2023-2024


  1. Group Leaders must use appropriate language and exhibit proper behavior at all times, setting a good example and being a proper role model for young SDKPA members and peers.

  2. Group leaders must fully attend the Group Leader Orientation and monthly Group Leader Training. The Group Leader Orientation will not count towards volunteer hours. However, mandatory monthly training time counts towards volunteer hours upon submission of the monthly After Meeting Report.

  3. Group Leader Orientation will be held at 3:00 pm on Sun, May 7 at San Diego Korean United Methodist Church.

  4. In-Person and Virtual Monthly Leader Training (August 2023 - April 2024)
    a. Group leaders must fully attend monthly group leader training at 2:30 pm - 5:30 pm every fourth Sunday of the month (third Sunday of December) at San Diego Korean United Methodist Church.
    b. Each meeting will last for 1 to 1.5 hours.  The Leader must attend from start to finish to achieve attendance.
    c. If having Covid symptoms or testing positive, leaders must notify SDKPA Science Club Team via email of absence to get excused.

  5. In-Person Science Club Group Meetings (September 2023 - May 2024)
    a. Group Leaders are required to host a Science Club meeting every month with his/her assigned small group members from September 2023 through May 2024.
    b. Each meeting should last 1-1.5 hours, and the Leader must attend from start to finish for attendance to be counted.
    c. In May 2024, leaders will attend the SDKPA Science Fair with their group members. There’s no separate small group meeting.
    d. Meeting time and place shall be decided upon the agreement of the group parent and the members.
    e. If having Covid symptoms or testing positive, leaders must notify the group parent and members of the case before the scheduled meeting time and cancel the meeting. Leaders shall change the meeting time upon the agreement of the group parent and the members 1 week after the confirmed case. You must not have any symptoms in order to schedule a new meeting date. If they cannot schedule a meeting during the month, leaders must notify the SDKPA Science Club Team via email and follow the instructions to make up the meeting during the following month.

  6. Leaders must follow the guidelines of the SDKPA to ensure the health and safety of all the participants during all the In-person Science Club meetings and leader training meetings. The SDKPA requires all the participants to comply with the State and CDC guidelines and may require additional precautions.
  7. Science Project Research Report
    a. Group Leaders are required to submit a Science Project Research Report via Google form provided by SDKPA Science Club Team.
    b. Science Project Research Report is due by 11:59 pm on August 25th 2023.

  8. The roles and responsibilities of you as a Science Club Group Leader are as follows:
    a. Attend monthly leader training sessions.
    b. Learn and fully understand the assigned activities and discussion materials before monthly group meetings.
    c. Actively participate in group discussion during leader training.
    d. In case of excused absence from any leader training sessions, leaders still need to find appropriate materials and study guides from the SDKPA/Science Club Website before their group meeting of the month.
    e. Be punctual for a monthly group meeting and check the attendance of each group member.
    f. Make sure to include and encourage all the group members to share their opinions and participate in group activities and discussions.
    g. Submit After Meeting Report by 11:59 pm on the 1st day of the following month using the Google Form link available on the SDKPA website.  Submission of the After Meeting Report is recorded based on the submission time, not the start time, so please give yourself enough time to complete and submit the report by 11:59 pm of the due date.
    h. Attend the Science Fair on May 19, 2024 and be prepared to present their group project with their group members.

  9. The SDKPA will issue a Volunteer Service Certificate to Leaders who have faithfully performed their leadership role.  Volunteer Service hours include monthly leader trainingscience club meeting preparation time (discussion and activities preparation and After Meeting Report preparation) and the Science Club group meeting time. The SDKPA will only accept up to 10 volunteer hours per month. 
  10. When the SDKPA provides an activity kit for a monthly group meeting, leaders are required to follow the directions of how to keep and collect the parts as the original condition and to return them by the due date. There will be a late fee of $25 for any activity kit returned after the due date as well as a penalty fee of $50 for loss or destruction of any activity kit.
  11. Rules for Disqualification: 4 penalty points will disqualify you from serving as a leader the following year. You will still be required to finish out the current year. / If the penalty points reach 3 points per year, the leader is given a warning.  If the leader receives 3 penalty points and 2 cumulative warnings, the Science Club may decide to disqualify the leader by discussing it.  
          A Leader will receive 1 penalty point when he/she:
         - Does not follow the instructions of the SDKPA Science Club Team on the group activities and discussion materials for the group meeting.
         - Does not submit the After Meeting Report by the due date (11:59 pm on the 1st day of the following month.)
        - Does not submit Science Project Research Report by the due date (11:59 pm on August 25th).
        - If more than 30 minutes late or misses the Science Club meetings or leader training without advance notice (except in emergency situations.)
        - receives a legitimate complaint from a parent or group member in connection with the Leader’s lackluster preparation/hosting of the Science Club meeting, as determined by the SDKPA Science Club Team. 
  • Exception:
    - Leaders may get excused when they notify the SDKPA Science Club Team of any absence from leader training sessions or cancellation of the group meetings due to Covid cases or conflicts with mandatory school activities.
    - The SDKPA has the right to disqualify a leader in case of drug use, expulsion, etc., regardless of the rules for disqualification set forth above.
          The SDKPA Board and the Science Club Team will investigate the incident and determine the need for a penalty.  

   12. All SDKPA announcements will be sent directly to leaders at the email the leader provided to the SDKPA upon the application; Leaders are therefore responsible to check and read the emails thoroughly from the SDKPA.

   13. If a leader must withdraw from the SDKPA Science Club due to inevitable circumstances such as moving to another state or an illness, he/she must send a written statement to the SDKPA Science Club via email and explain the circumstances at least one month prior to the withdrawal date.
        a. Even though a leader moves to another area in San Diego in the middle of the school year, he/she must continue as a Group Leader to his/her assigned group until the end of the school year.
        b. If there is a shortage of leaders in other areas, with the consent of the SDKPA Science Club Team, a Leader may act as Group Leader for a Science Club group in an area other than the area the Leader belongs to.

     15. Leaders are always welcome to contact the SDKPA Science Club Team via email (sc.leaderteam@sdkpa.org) and/or leave a comment in the Remarks section of the After Meeting Report, if he/she has any questions or concerns about the Science Club meeting.

    16. Photographs taken during the Science Club meetings can be used to promote the SDKPA Science Club, for example, BOOK PARTY, SDKPA Homepage, magazine, etc.
